Author affiliation in scientific publications

The objective of this section is to provide the researchers of the IDIAP, the ICS and related entities with criteria to include the author affiliations in their publications.

General Criteria 

The reports and all scientific communications must include the names of all authors and their institutional affiliations. The affiliation is particularly important in the case of the first author, since most bibliometric reports are based on the affiliation of the first author (for instance, Pubmed).

The correct assignation of the workplace draws attention to the centres and institutions within the international scientific community and underscores the reliability of bibliometric indicators on productivity, impact and ranking of countries, regions and institutions.

The affiliations usually include the institution, followed by the city and country, separated by commas, not full stops.

It is recommended to include the name of the centre in its original language. It is common amongst investigators to translate the name to English to facilitate the international recognition of the institution. However, the translation can only appear translated when the English name has been previously approved by the institution, and must always be accompanied by the acronym of the centre in the original language (for instance: Universitat Autònoma de Barcelona and Institut Català de la Salut  should be shown in Catalan). In case of international publications, the country will be translated (i.e., Spain).


Criteria of affiliation

An author can have more than one affiliation. Usually, the primary affiliation of an author corresponds to her workplace, followed by the associated health research institute, university, etc.

In the case of authors from the IDIAP’s head office, the affiliation will be the IDIAP Jordi Gol. In addition, holders of the Esfera card of the Universitat Autònoma de Barcelona (i.e., the NIU) must also include their affiliation to the Universitat Autònoma de Barcelona.

For researchers of the USR, the affiliation will be as follows:

1 Research Support Unit Metropolitana Nord, Institut Universitari d'Investigació en Atenció Primària Jordi Gol (IDIAP Jordi Gol), Mataró, Spain.

As previously explained, the professionals of the USR with a NIU will state the UAB as second affiliation:

2Universitat Autònoma de Barcelona, Bellaterra (Cerdanyola del Vallès), Spain.

 

For the primary care staff of the ICS, the affiliation will include the workplace or PU, Primary Care Management and ICS (the PCS is not included unless it is equivalent to the productive unit). Since the ICS created the IDIAP to manage, support and assess primary health care research, we suggest that all ICS primary care centres include the double affiliation (IDIAP/USR-IDIAP).

We propose the following model:

Double affiliation with RSU: if one of the researchers works with the RSU of her region (while being paid by the primary care centre, on a part-time basis, etc.) the affiliation will include the centre and the RSU. The IDIAP should not in these cases be included as the second affiliation, since the RSU already includes the name, for instance:

1 Centre d'Atenció Primària ....... Direcció d'Atenció Primària ..... Institut Català de la Salut, ....., Spain.

 2 Research Support Unit  .... Institut Universitari d'Investigació en Atenció Primària Jordi Gol ,..., Spain.

 

Special cases:

In case of ICS personnel working temporalily for the IDIAP, the affiliation should include both institucions:

1Institut Universitari d'Investigació en Atenció Primària Jordi Gol (IDIAP Jordi Gol), Barcelona, Spain.

2Institut Català de la Salut, ....., Spain.

 

In case of university hospital, the affiliation can include the department:

                 1Departament .... Hospital Universitari Vall d'Hebron, Barcelona, Spain.

 

In the case of collaborators that work in other universities, they should include the name of the university that employs them, not the UAB.

 

CIBER and CAIBER have their own affiliation guidelines.

 

Networks such as REDIAPP are included in the Acknowledgements.

Guidelines for the correct acknowledgment of funding received from the ISCiii

In order to cover the expenses generated by the publications and other means of dissemination of results of projects funded by the Carlos III Health Institute , the details of the funding must be specified in the Funding section or at the end of the leaflet or presentation. per l’Instituto de Salud Carlos III, s'ha de referenciar correctament els detalls de finançament a l’apartat “Funding”, al final del tríptic, o de la presentació en curs.

The Plan Estatal I+D+i i al ISCIII-Subdireccion General de Evaluación y Fomento de la Investigación must be specified as funding agencies, together with the identification code assigned to the project. In addition, and following EU regulations regarding publicity of European Funds, co-funding by FEDER must also be acknowledged.

Spanish example: “Proyecto financiado por el Instituto de Salud Carlos III en la convocatoria correspondiente al año 20xx de concesión de subvenciones de la Acción Estratégica en Salud 2013-2016, del Programa Estatal de Investigación Orientada a los Retos de la Sociedad, en el marco del Plan Estatal de Investigación Científica y Técnica y de Innovación 2013-2016; con el código expediente PI1x/xxxx, cofinanciado por la Unión Europea a través del Fondo Europeo de Desarrollo Regional (FEDER)”.

English example: “The project received a research grant from the Carlos III Institute of Health, Ministry of Economy and Competitiveness (Spain), awarded on the 20XX call under the Health Strategy Action 2013-2016, within the National Research Program oriented to Societal Challenges, within the Technical, Scientific and Innovation Research National Plan 2013-2016, with reference PIXX/XXXXX, co-funded with European Union ERDF funds (European Regional Development Fund)”.

Register of Clinical Trials

The World Health Organisation (WHO), considers that the registration of all internventional trials is a scientific, ethical and moral responsability.

The mission of the WHO International Clinical Trials Registry Platform is to ensure that a complete view of research is accessible to all those involved in health care decision making. This will improve research transparency and will ultimately strengthen the validity and value of scientific evidence.(Source: http://www.who.int/ictrp/es/)

In 2005 the Internacional Committee of Medical Journal Editors (ICMJE) requested the register of clinical trials in validated, public databases prior to publication.

The IDIAP Jordi Gol encourages the use of the platform  www.ClinicalTrials.gov to register clinical trials, since it meets all the requirements of the ICMJE: http://www.icmje.org/about-icmje/faqs/clinical-trials-registration/
